Accounts receivable
We invoice your customers, track what comes in, work the overdue list, and keep you seeing exactly who owes you what.
The difference
Invoices go out on schedule and reminders send themselves, so getting paid stops depending on whether anyone remembered to follow up this week.
Draft, sent, due, paid, chased where it sticks
Before you hand anything over
How we handle your data
-
Your systems stay yours.
The work happens in your own accounts, on your own subscriptions, under your ownership. Nothing leaves the systems you have given us access to.
-
Access is requested, never assumed.
Read only wherever the work allows it, asked for per system rather than granted in bulk, and named per person. Credentials are never shared, and your records never sit on personal devices.
-
Preparing stays separate from approving.
A second person reviews before anything is filed or closed. On payables we prepare the run and you're the one who releases it.
Who it’s for
Businesses waiting too long to get paid. If invoices go out late, follow up only happens when cash gets tight, and nobody can say offhand what is overdue, this is the fix. It's one of the services clients most often hire on its own.
How we help
- 01 We generate and send invoices as work completes, so billing doesn't wait on someone finding the time.
- 02 We track incoming payments and match them against open invoices.
- 03 We keep customer accounts current, including terms, credits, and disputes.
- 04 We run aging analysis and work the overdue list on a set cadence rather than in a panic.
- 05 We escalate to you before an account gets old enough to be a real problem.
What you get
- Invoices out on time, every cycle.
- A current aging report you can read at a glance.
- Less time between doing the work and holding the cash.
- Overdue accounts worked consistently, not occasionally.
- Follow up that stays professional, because these are your customers.
What owners ask about accounts receivable
Will you contact our customers directly?
Yes, if you want us to. We work under your business name and agree the tone with you first. These are your relationships and we treat them that way.
How do you handle a customer who will not pay?
We work the follow up sequence and keep a record of every contact. Once an account passes the point where that's working, we bring it to you with the full history attached so you can decide on next steps. Dealers financing in house have a heavier version of this problem, which is covered on auto dealers.
What is DSO and should I care about it?
Days sales outstanding is the average time between invoicing and getting paid. It's the clearest single measure of whether your receivables process works. We report it and we work to bring it down.
Can you do this without taking over our bookkeeping?
Yes. Receivables works as a standalone service. It works better alongside bookkeeping and accounts payable, because then the same team sees both sides of the ledger, but it doesn't require it.
What about customers who dispute an invoice?
We log the dispute, gather what supports the charge, and bring you anything that needs your call. What we don't do is let a disputed invoice sit in the aging report for six months pretending to be collectible.
